When using the student or employee template to update existing profiles, only fields in the templates that have values will be updated on the profiles.
This reduces the amount of data that you need to enter into the template since you only need to enter the first & last name or email address (to identify the record to update) and the values in the fields that you want to change.
If you would like to remove values from a field, you can add the word "remove" in the relevant field when completing the template.
Uploading The Template
Once you've entered the information into the template that you would like to update in Teachworks, you can follow these steps to upload the template and update your records:
Families & Students
- Click on "Students" and then click on "Students".
- Click on the "Upload Students" option on the right-hand side.
- Click on the "Choose File" button under the "Import Family/Students" or "Import Independent Students" sections (depending on the type of students you are updating).
- Select the file from your files.
- In the "Upload Action" field, select "Update Matching on First & Last Name" or "Update Matching on Email Address".
- Click on "Submit" to upload the records and update your profiles.
Employees
- Click on "Employees" and then click on "Employee List".
- Click on the "Upload Employees" option on the right-hand side.
- Click on the "Choose File" button under the "Upload Teachers" or "Upload Staff Members" sections (depending on the type of employees you are updating).
- Select the file from your files.
- In the "Upload Action" field, select "Update Matching on First & Last Name" or "Update Matching on Email Address".
- Click on "Submit" to upload the records and update your profiles.
Process for Matching & Updating
Employees
The records in the uploaded template will be matched using the selected matching action (ie. by first and last name or email).
Indpendent Students
The records in the uploaded template will be matched using the selected matching action (ie. by first and last name or email).
Families & Students
When updating family students the software uses the following process for matching and updating family and student profiles. The records will be matched using the selected matching action (ie. by first and last name or email).
