If you have students that use the Package Billing Method, you can view their package balances using the "Package Balances" table, found under "Billing".
How Package Balances are Calculated
Package balances are comprised of all of the package lessons/hours that your clients have purchased for a particular service type minus the lessons that have been "Scheduled" or "Attended" using the same service type as the package.
If you would like to include "Missed" lessons to ensure they are also deducted from your clients' package balances, you can follow the steps below:
- Click on "Account & Settings" and then click on "Account Settings".
- Scroll down to the "Package Settings" section.
- Enable the "Count 'Missed' Lessons as Used" setting.
- Submit the form to save your changes.
NOTE: Package balances are calculated on a per student basis. If you have multiple students from one family using one package for the same lesson, the package balance will be reduced by both students. For example, if the lesson is 1 hour and two students from the same family are included, their package balance will be reduced by 2 hours.
Package Balances Table
The Package Balances table displays multiple columns that will display information related to your clients' package balances. You can find a list of these columns below:
- Customer Name - This column displays the name of the customer who has purchased the package.
- Student Name - This column will be displayed if you are tracking packages by "Student". It will display the name of the student that the package has been assigned to. This setting can be changed in the "Package Settings" section of the Account Settings page.
- Service Type - This column displays the service that is used for their package.
- Purchased - This column displays the total number of lessons or hours purchased.
- Scheduled - This column displays the total number of lessons or hours that have been scheduled.
- Unscheduled - This column displays the difference between the "Purchased" and "Scheduled" columns. If a customer has scheduled all of their purchased lessons this will display a zero.
- Overscheduled - This column displays the difference between the "Scheduled" and "Unscheduled" columns.
- Used - This column displays the number of hours or lessons that have been used (When a lesson has been completed as "Attended" and "Missed", depending on your settings).
- Unused - This column displays the difference between the "Purchased" column and the "Used" column. If a customer has used all of their lessons this will display a zero balance.
- Overused - This column displays the difference between the "Used" column and the "Purchased" column.
