The Schedule confirmation add-on allows you to send your customers a personalized email that includes a snapshot of all their scheduled lessons for a selected period of time.
Emails are only sent to recipients that have records within the date ranges -- in other words, recipients with no lessons during the selected range will be excluded automatically.
NOTE: In order for a schedule confirmation to be sent out, the student's profile needs to be "Active" and the lesson status is set to "Scheduled" or "Attended".
Enabling the Add-on
- Click on "Account & Settings" and then click on "Integrations & Add-ons".
- Use the "Search" field on the right and enter "Schedule Confirmation".
- Click on the "Enable" link.
Settings
Once the add-on has been enabled, you can click on "Settings" to customize the following settings:
- Default Confirmation Period: This setting allows you to select the default period for your email template. You can modify this period when creating the schedule confirmation email.
- Lesson Details: In this section, you can select the lesson details to display for each lesson listed in the schedule confirmation.
Usage
When you would like to send your customers a schedule confirmation email, you can do so by following the steps below:
- Click on "Email" and then click on "Schedule Confirmation".
- Select the recipients you would like to send the schedule confirmations to. You can select all recipients from an account type by clicking the "Select All" link. You can also select individual recipients by clicking on the field. You can select the following recipient types:
- Families
- Family Contacts
- Independent Students
- Child Students
- Enter a "Subject" and a message in the "Message" field. If you have saved templates previously, you can select a template in the "Template" field. Selecting a template will populate the "Subject" and "Message" fields with the template contents automatically.
- After entering the subject and message, if you would like to save the message contents for future use, check the "Save Template" checkbox.
- Check the box to confirm that the email is non-commercial in nature and complies with anti-spam regulations.
- Submit the form to send the email to the selected recipients.
Confirmations & Notifications Log
When you are on the "Send Confirmation" page, you can find the following options on the menu on the right-hand side:
- Manage Templates - This option allows you to view all of your saved templates, where you can edit or delete them.
- Confirmations - This option shows a list of all the confirmations created.
- Notifications Log - This option shows detailed information regarding the schedule notification sent, including the status of the email (Delivered, dropped, failed).
